All Members
- You will be tracking your hours in the Conservation Legacy Community Portal. The instructions below will help you understand how to access, track, and submit your hours for approval on a weekly basis. Timesheets must be submitted by their due date, on a FRIDAY to ensure on-time payroll.
- Payroll Schedule - Please review this document to see due dates for your timesheet and pay days. It is recommended that you create calendar reminders or phone reminders on the days your timesheet is due.

AmeriCorps Members

- Your position includes some personal time off if you are an AmeriCorps member. This was outlined during the interview process and can be confirmed with your Program Coordinator. Please use this document to understand how to accurately account for personal time in your timesheets.
Hourly Members

- If you received paid time off, it was outlined in your offer letter and can be confirmed with your Program Coordinator.
- Overtime Guidance
- CCNM Program Staff will notify members at the beginning of their term whether they have funds to support overtime.
- All Hourly Members must receive permission from CCNM PRIOR to working overtime as funds must be allocated for this purpose.
- All participants placed by the CCNM Individual Placement Program at Conservation Legacy who are not serving an AmeriCorps term are considered employees of Conservation Legacy. Participants are paid hourly and are eligible for overtime pay. Overtime is calculated on a weekly basis; if a member records over 40 hours in one week on their timesheet, any hours worked over 40 will be paid time and a half. Non-productive hours (holiday or other paid time off) do not count toward overtime compensation.

These resources are listed in the order you will need to access them in the event of a workplace injury/vehicle accident. For any incident requiring medical attention, please contact CCNM staff with in 48 hours. For all other incidents, please notify CCNM staff as soon as you are able to.

- Completing An Incident Report Form in Community Portal or Incident Report Form Fillable notify CCNM Staff in addition to filling out the incident report form.
- State Notices of Workers Compensation - this is just a notice of your rights as an employee in your respective state. You must reach out to your Program staff for Workers Compensation support.
Vehicle Accidents - Vehicle Accident Report notify CCNM Staff in addition to filling out the vehicle accident report.
If your site experiences a natural disaster or other emergency (i.e. active shooter, closure for illness outbreak, etc), please refer to the Emergency Protocol And Policy for guidance on how to keep your Program Coordinator informed.

There are several things to do before you can say adieu to CCNM. Please complete these tasks no later than your last day so that we can exit you from the program.

For members with Gmail accounts, use this link to upload your forms and complete your exiting checklist:
For members without Gmail accounts, email all completed forms to CCNM staff in ONE email. We will not accept forms submitted separately. Notify your coordinator when all exiting tasks are complete.
To Submit:
- REQUIRED FOR ALL MEMBERS Success Story
- REQUIRED FOR ALL MEMBERS Final Evaluation - This form is to be completed with your supervisor and signed by both of you.
- REQUIRED FOR ALL MEMBERS - Submit at least one picture from your term - you should be in the picture and preferably wearing a CCNM uniform, but we'll take what we can get!
- Goals Sheet - Revisit what goals you have accomplished and where you can go from here (This form was sent to you at the beginning of your term and you should have already completed a midterm reflection, you will add your final reflection for your exit. This process is for your own professional development, and the form is not required to be returned to CCNM staff.)
Other Exit Tasks:
- REQUIRED FOR ALL MEMBERS Member Accomplishments - this form is in Salesforce. You will receive an automated email invite a week before your official end date to enter your term accomplishments via a link. In this last accomplishment report, you only need to enter information for the months not already submitted during your term. Let CCNM staff know if you do not receive it or are exiting earlier and we can send the invite manually. You may also go into your Salesforce – Community Portal account and enter the accomplishments on your own. Please upload a picture from your term to this report.
- REQUIRED FOR ALL MEMBERS Timesheet - All hours are submitted and approved.
- REQUIRED FOR ALL MEMBERS Conservation Legacy Exit Survey -There will be an automated Conservation Legacy email survey called “Participant Exit Survey” sent to you prior to your exit date. Please let your Program Coordinator know if you do not receive the email and they will send you a manual invite.
- If you are an AmeriCorps member - AmeriCorps will be sending you prompts to take an exit survey in your MyAmeriCorps portal. Do this ASAP- as this is what allows you to access your Education Award- which is good for 7 years. If this is not done within 10 days of your exit date, you will not receive your award.
- If you have a credit card - Your card will be cancelled on the Monday of your final week to allow time for you to reconcile purchases and mail your card back to CCNM prior to your departure. Your Program Coordinator will send an email with the address for shipment. Make sure to do these tasks in order to remain in good standing with CCNM.
- If you are an OYSI grant participant - complete the OYSI Grant Feedback survey to help us improve programming efforts.

- AmeriCorps Health Benefit - Some AmeriCorps positions come with health benefits. This benefit will be listed in the position description during the application process and members are notified during the onboarding process to opt in or out.
